Summer corporate gifts need a different plan from year-end gifts. Warm weather affects product choice and storage, annual leave makes recipient lists unreliable, and event venues often have narrow delivery windows. A good summer campaign starts with these practical constraints, then builds the gift around the reason for sending it.

Start with the summer moment
“Summer” is not a purpose on its own. Give the campaign a clear reason so the message, products and timing make sense together.

Choose products that tolerate the journey
A product may look summery without travelling well in heat. Before approving food, cosmetics, candles or other temperature-sensitive items, ask the supplier about storage instructions, shelf life, packing conditions and the expected route. Do not treat an insulated-looking box as temperature-controlled shipping unless the delivery service explicitly provides that condition.
For food, the Dutch Food and Consumer Product Safety Authority says products should be stored according to the temperature on the label. When that information is absent, its guidance states that prepacked perishable food should be kept at 7°C or below. See the NVWA food-storage guidance.
For a standard parcel network, favour stable products that can withstand a short delay and normal indoor storage. Examples might include:
- tea, coffee or shelf-stable drinks with clear preparation instructions;
- packaged savoury snacks or confectionery selected for the route and season;
- reusable drinkware, a notebook or a useful travel accessory;
- a textile or outdoor item when size and recipient fit are manageable;
- a card, voucher or event insert that connects the contents to the occasion.
Availability, ingredients, allergens, shelf life and destination requirements must be checked for the actual products. Avoid broad promises such as “heatproof” unless the product and shipping method have been verified.
Plan around annual leave
A perfect gift delivered to an empty office or unattended home is still a failed campaign. Build leave and availability into the address process.
- Set a recipient-list owner and one final deadline.
- Ask whether the parcel should go to a home, office or event address.
- Confirm that someone can receive it during the proposed week.
- Flag company closures, reduced office hours and local public holidays.
- Stop last-minute address changes after the fulfilment cut-off unless they are confirmed as feasible.
- Keep a fallback plan for returns or recipients who are away.
If availability is uncertain, schedule the campaign for the first full working week after the holiday period or use a consolidated delivery that the client team can distribute.
Decide between individual and consolidated delivery
Individual addresses
Home delivery can create a personal moment for remote or distributed teams. It also creates more address handling, more delivery events and more opportunities for a parcel to arrive while someone is away. Use only the personal data needed for fulfilment and limit access to the people managing the project.
One office address
A consolidated delivery is easier to coordinate when most recipients share a location. Confirm the receiving hours, number of cartons, storage space and who will distribute individual gifts. Do not assume reception can hold a large delivery without notice.
Event venue
Venue delivery needs a named on-site contact, mobile number, exact handover point, receiving hours and a documented delivery window. Ask whether the venue accepts advance freight, where cartons will be stored and who removes outer packaging. A buffer of at least one week before an event is sensible where practical, especially for personalised or branded projects.
Use summer branding without making it disposable
A summer concept can feel seasonal through colour, a short message, an insert or a few carefully selected products. It does not need novelty slogans on every object. For branded merchandise, prioritise items the recipient can continue to use after August.
Fully printed packaging can carry campaign artwork inside and outside, subject to feasibility and quantity. It normally becomes commercially sensible at approximately 10–20 boxes, depending on the project. Branded packaging typically needs around two weeks of production after design approval; concept development, sourcing, packing and delivery come in addition. Replace the brackets with real details. Avoid assuming that every recipient is taking a holiday, travelling, drinking alcohol or celebrating the same seasonal traditions.
